The Challenge

Exhibiting in Japan Can Be Daunting

For international companies, the "last mile" of logistics in Japan often presents the most significant hurdles.

Official Forwarders Differ by Show

Many Japanese exhibitions appoint an official forwarder for handling inside the hall. Using them is usually not mandatory, but the terms differ from show to show, and the exhibitor manual has to be read closely before the shape of the job is decided.

Customs and Temporary Import

ATA Carnet, temporary import, giveaways and consumables are each handled differently. Cargo that clears late misses its move-in day.

Working Across Two Languages

Japan's exhibition industry is opening up, and more organizers now correspond in English. Even so, the forms and the fine details on site tend to move in Japanese, so you need someone who works in both.

Scope of Work

Where Freight Ends, Exhibitions Begin

A standard freight service carries your cargo to the venue and takes responsibility up to that point. Exhibition logistics picks up from there.

Standard Freight Forwarding

Origin to the venue dock

Export pickup and international transit
Import customs clearance
Domestic transport to the venue
Shipment documentation
Delivery completed at the receiving dock
Where it ends:

Your cargo reaches the venue. The move-in rules, the official forwarder, and the work inside the hall are arranged separately.

Pacific Exhibition Logistics

Everything above, and the hall as well

Move-in slot booked with the venue
Coordination with the organizer's official forwarder
Timed delivery into the hall
Unpacking, placement, and empty crate storage
Repacking and return arrangements after the show
Where it ends:

Your exhibit stands ready on the show floor, and your crates come home after the closing day.

Our Solution

How We Work in Japan

How a shipment comes together depends on the show. We look at the conditions and propose the shape that works best for yours.

From Your Facility to the Venue

Pickup at your warehouse or factory, ocean or air freight, customs clearance, and domestic transport, arranged as one movement and timed to the venue's receiving conditions.

Customs & ATA Carnet

ATA Carnet, temporary import, and customs handling, planned from the start with the re-export after the show in mind.

Shows With an Official Forwarder

Where the organizer's official forwarder handles work inside the hall, we deal with them directly on paperwork, move-in slots, and timed delivery. Consolidating on-site work this way is often the more economical route.

Everything Else

Many shows have no official forwarder, and store fit-outs, corporate events, and one-off projects rarely do. There we build the team ourselves, with packing and trucking partners, up to helping dress your exhibit.

One Point of Contact for Your Freight

Booth space, exhibitor fees, and badges stay between you and the organizer. Everything on the freight side, from the official forwarder to the venue and customs, comes through us. We work alongside you and carry the project through to the end, from move-in to move-out. If you would like us to take on more than that, just ask.

Sustainability · Scope 3 Transparency

Quiet support for cargo CO2 visibility and reduction

Scope 3 disclosure (supply-chain greenhouse gas emissions, including transport) is under increasing pressure from regulators and stakeholders of large shippers. A forwarder's ability to provide transport-emissions numbers now flows directly into the shipper's integrated and sustainability reports.

Pacific Inc. calculates cargo CO2 emissions using the industry-standard GLEC Framework. Beyond per-shipment data, we surface sea-vs-air comparisons, mode-optimization proposals, and reference offset costs — so you can make transport decisions with the numbers in front of you.

GLEC Framework Compliant

Industry-standard methodology from Smart Freight Centre. DSV, Kuehne+Nagel, and DHL Global Forwarding all operate on the same base.

Sea vs Air Comparison

Shipping the same cargo by air produces roughly 85× the emissions of sea freight. The tool visualizes the gap so you can quantify the reduction opportunity.

Scope 3 Report Ready

CO2 data for shipments handled by Pacific Inc. can be used as a primary input for your integrated report or sustainability report.
